PERSONAL ASSISTANT (WK Consortium Sdn Bhd) – Kota Kinabalu

JOB REQUIREMENTS: 

  • Possess related secretarial or personal assistant working experience in the construction/development industry would be an advantage.
  • Preferably with an accounting background.
  • Knowledge in legal will be an added advantage.
  • Organised, meticulous and has a good sense of urgency.
  • Good written and spoken communication skills.
  • Excellent computer and administration skills.
  • Matured and able to work independently.
  • Proven ability to work under pressure and tight deadlines.
  • Required language(s): Bahasa Malaysia, English and Chinese.

JOB RESPONSIBILITIES: 

  • To maintain and provide efficient and responsive administrative, organisational, financial and personal administration to the Chief Executive Officer to prioritise her time.
  • To organise and maintain Chief Executive Officer’s diaries and making appointments.
  • To advise the Chief Executive Officer of impending work deadlines for both internal and external commitments, e.g. reports, presentations, projects, etc.
  • To filter incoming emails, faxes, post and correspondence and highlight urgent correspondence.
  • To organise inbound emails into appropriate folders.
  • To prepare correspondence on behalf of the Chief Executive Officer, including drafting general replies.
  • To chase responses to requests and emails to/from the Chief Executive Officer.
  • To screen phone calls, enquiries and requests, and handling them in an appropriate manner.
  • To liaise effectively with internal divisions/departments on behalf of the Chief Executive Officer.
  • To liaise competently with external parties e.g. Solicitors, Bankers, Local Authorities, etc. on behalf of the Chief Executive Officer.
  • To service meetings, including preparation of meeting papers, obtaining and preparing briefing materials and presentations, and taking minutes when requested/where necessary.
  • To arrange travel, visas, accommodation, and occasionally travelling with the Chief Executive Officer.
  • To devise and maintain office systems including data management and filing.
  • To keep accurate records and files at all times and as appropriate.
  • To retrieve files.
  • To assist the Chief Executive Officer with all other related assigned tasks.
